Planning a rental-home upgrade? Get the project details agreed first

Before ordering a new fixture or arranging a painted accent wall in a rental, put the proposed change in writing and check it with the property owner or manager. A clear project description helps everyone agree on what may change, who handles the work and what happens afterward.

Start with the agreement and the right contact

Read your rental agreement and any attached building rules for decorating, mounting hardware, fixture changes and contractor access. Ask the owner or manager to clarify anything that does not address the proposed work. Keep their written response with the project details.

California's Department of Real Estate tenant guide explains rental-agreement terms and keeping written records of agreed changes. This checklist concerns optional decorating or installation projects. Report existing faults through the property's maintenance process; repairs and disability-related modifications have separate considerations covered in that guide.

Describe the physical change, not just the desired look

Send a photo of the location and the exact product link or paint specification. Identify what would be removed, attached or painted. For a curtain rod, distinguish reusing existing brackets from creating new mounting holes. For painting, identify each included wall and whether trim stays unchanged.

Ask whether the property has a required contractor process or needs details about the proposed installer. Confirm any work-hour, parking, elevator or access arrangements before choosing a visit time. An estimate can be prepared while approval is pending, but identify it as pending.

Agree on costs and the old materials

Ask who orders and pays for materials and labor, whether removed fixtures must be retained, and where they should be stored. Confirm any expected removal, reinstatement or finish repair when the upgrade is no longer wanted. Keep these questions separate from the installation price.

Photograph existing holes, finish marks and the original fixture before work. Keep product labels and the final agreed scope with those photos. If the selected product or location changes, send the revision for confirmation instead of relying on approval for the earlier version.

A request you can adapt

I'd like to install [product/link] at [specific location]. The proposed work is [removal, attachments and finishing], shown in the attached photo. Please confirm whether this change is approved, any installer or access requirements, who pays, and whether the original item must be stored or reinstalled later.

Send Coast & Craft the approved project description, relevant conditions, photos and preferred timing. Keep unrelated lease pages and personal records out of the project request. The visit scope should match the work actually approved.
